Service Delivery Policy

This Service Delivery Policy explains how Mindquest Play prepares and delivers remote interactive workshops, team-development sessions, educational game programs, consultations, facilitator training, recurring support, and related learning services.
1. Scope
This Service Delivery Policy explains how Mindquest Play prepares, schedules, conducts, and completes virtual workshops, team-building sessions, interactive learning programs, consultations, custom virtual events, facilitator training, educational group programs, recurring support, and related services.
2. Primary Delivery Method
Services are primarily delivered remotely. Delivery may use video conferencing, digital whiteboards, shared documents, presentation tools, chat, polls, breakout rooms, browser-based activities, or other collaboration systems appropriate to the selected program.
3. Service Confirmation
Before a paid service is delivered, the client may receive a proposal, invoice, confirmation, or other written summary identifying the service, schedule, price, expected participant count, delivery format, and important preparation requirements.
4. Client Intake
Program planning may require information about group size, participant roles, learning objectives, approximate age range, organizational context, accessibility needs, time zone, preferred delivery platform, and any material constraints.
The quality and relevance of a customized session can depend on receiving complete and timely information.
5. Standard Services
Standard services are designed around a defined format and ordinary preparation level. Minor adjustments may be made to participant count, examples, timing, or facilitation approach without turning the engagement into a fully custom program.
6. Custom Services
Custom virtual game events, corporate learning packages, educational game design consultations, and other tailored engagements may involve additional discovery, design, activity selection, sequencing, testing, facilitator preparation, or creation of supporting materials.
Custom work may begin before the scheduled live session and can therefore affect cancellation and refund eligibility.
7. Scheduling and Time Zones
Clients are responsible for confirming the correct date, time, and time zone before the engagement is finalized. A confirmed time is based on the time-zone information stated in the applicable booking or communication.
8. Participant Readiness
Clients should ensure participants have the joining link, compatible device, reliable internet connection, audio capability where required, and access to any requested materials before the session begins.
9. Session Start and End
Sessions are designed to begin and end at the confirmed time. A delay caused by participant availability, internal client meetings, local technology, or late arrival may reduce the amount of activity time available.
An extension is not guaranteed and may require an additional fee if it materially increases facilitator time.
10. Facilitation Approach
Facilitators may adjust pacing, instructions, group arrangement, activity sequence, breakout structure, or debrief questions to respond to participant engagement and available time while maintaining the general learning objective.
11. Group Size
Some activities work best within particular group sizes. If actual attendance materially differs from the expected group size, we may adapt the session, substitute an activity, change breakout arrangements, or recommend a revised format.
12. Accessibility
Clients are encouraged to communicate reasonable accessibility or participation needs before the session. We will make reasonable efforts to adapt delivery when possible within the confirmed scope and available platform features.
13. Minors and Educational Groups
When minors participate, the program must be arranged by an authorized adult, parent, guardian, school, educational organization, or responsible coordinator. The organizer is responsible for required permissions, supervision, and suitability decisions.
14. Digital Materials
A service may include worksheets, digital instructions, facilitator materials, activity prompts, presentation files, or post-session resources. Materials may be delivered before, during, or after the session depending on the service design.
15. Material Formats
Digital materials are provided in the format selected for the service. We do not guarantee compatibility with every device, software version, accessibility tool, or client-controlled system unless a specific format requirement was agreed in advance.
16. Recording
Sessions are not recorded by default unless a written arrangement states otherwise. Client or participant recording requires advance permission and may be restricted by privacy, participant-consent, platform, or intellectual-property considerations.
17. Third-Party Platforms
Virtual delivery may rely on third-party conferencing, collaboration, payment, scheduling, or file-sharing services. Their uptime, security features, account requirements, and technical limitations are outside our direct control.
18. Technical Interruptions
If a technical interruption occurs, the facilitator may troubleshoot, move to another available method, continue with a modified activity, or recommend rescheduling depending on the severity and available time.
19. Completion of a Live Session
A live facilitated service is considered delivered when the confirmed session has been substantially conducted, subject to any follow-up expressly included in the purchased service.
20. Completion of a Consultation
A consultation is considered delivered when the scheduled consultation has been conducted and any specifically included follow-up notes or materials have been provided.
21. Completion of a Recurring Program
A recurring program is delivered over the service period stated in the applicable arrangement. Each session or support activity may form part of a broader monthly or ongoing scope rather than a separate standalone purchase.
22. Post-Session Follow-Up
Where included, follow-up may consist of summary notes, activity materials, recommendations, or another agreed item. Follow-up that was not included in the confirmed scope may require a separate service.
23. Delays Caused by Client Input
A delivery deadline may be extended when necessary information, approvals, participant details, payment, or feedback are not provided on time.
24. Changes to Delivery Method
We may make reasonable changes to delivery tools or methods when necessary for security, platform availability, service continuity, accessibility, or operational improvement, provided the core service remains substantially consistent with the confirmed scope.
25. Questions About Delivery
Clients should raise questions about platform requirements, participant count, accessibility, scheduling, materials, or custom preparation before the confirmed session whenever practicable.
26. Facilitator Assignment
A service may be delivered by the facilitator selected for the engagement or by another suitable facilitator where operational needs require a change. We may make a facilitator substitution when necessary because of illness, scheduling conflict, emergency, or another legitimate delivery issue.
A substitution does not by itself mean the service is materially different when the replacement facilitator can deliver the confirmed scope.
27. Breakout Rooms and Small-Group Work
Some sessions may use breakout rooms or small-group activities. The exact grouping method may be adjusted based on attendance, platform capabilities, time, and the facilitator’s judgment about participation.
28. Participant Communication
The client or organizer is generally responsible for distributing joining information, preparation instructions, and internal participation expectations to the group unless the confirmed scope expressly assigns that responsibility to Mindquest Play.
29. Materials Supplied by the Client
If the client asks us to incorporate its own documents, examples, branding, scenarios, or internal information, the client is responsible for supplying those materials in time and for confirming it has authority to use them.
Late delivery of client materials may require simplification, rescheduling, or omission of the requested customization.
30. Quality and Practical Adaptation
Interactive facilitation is responsive by nature. A facilitator may spend more or less time on a particular activity based on participation, understanding, group size, and available time. The service is judged by the overall confirmed learning purpose rather than by rigid completion of every possible prompt or exercise.
